We are seeking a proactive and detail-oriented Controller/Finance Manager to lead and develop this new role within our growing Design firm. Our candidate will be responsible for overseeing Supplier and Trade coordination, Financial Management, and Quoting processes for luxury Residential builds. As the architect of this position, you’ll have the opportunity to shape and optimize workflows to support the firm’s ambitious growth goals.
Objectives:
- Ensure 100% accuracy in financial forecasting and project budgeting, keeping all luxury design projects within approved financial parameters.
- Implement efficient purchasing strategies that reduce material costs by at least 20% annually without compromising quality or design integrity.
- Establish and maintain strong partnerships with high-end suppliers, ensuring on-time delivery and premium quality materials for all projects.
- Ensure 99%+ compliance with allocated budgets, tracking all project-related expenses to prevent overspending and unnecessary cost overruns.
- Secure favorable pricing and payment terms with suppliers and contractors, achieving an annual cost reduction of at least 20% through effective negotiations.
- Maintain 100% on-time material procurement, ensuring that all purchases align with project timelines and prevent workflow disruptions.
- Develop and implement monthly financial reports with 100% accuracy, providing leadership with clear insights into project profitability and cost efficiencies.
- Maintain full compliance with financial policies and procurement regulations, mitigating risks and ensuring adherence to all legal and industry standards.
- Implement improved inventory tracking systems, reducing waste and unnecessary expenditures by at least 10% annually.
- Align financial planning and procurement strategies with the company’s expansion objectives, optimizing resources to support scalable growth.
- Identify and execute at least three process improvements per year to increase operational efficiency in purchasing and finance.
- Work closely with designers, project managers, and leadership to ensure financial and purchasing decisions align with project vision and company profitability goals.
- Source and purchase construction materials and furniture for client builds, with a focus on luxury products.
- Identify and establish relationships with new Vendors to ensure competitive pricing and high-quality products.
- Coordinate with Suppliers and Trades to ensure timely deliveries and clear communication.
- Track and manage purchase orders, ensuring accuracy and efficiency.

- Strong negotiation skills to secure the best pricing and payment terms for materials, labor, and outsourced services.
- Proficiency in creating accurate financial reports, tracking project expenditures, and forecasting financial needs.
- High level of precision in managing financial transactions, purchase orders, and vendor agreements to prevent errors and inefficiencies.
- Knowledge of legal and regulatory requirements related to financial processes, purchasing, and contract management.
- Ability to work closely with designers, project managers, and leadership to align financial planning with creative vision.
- Strong command of financial management systems, ERP software, and procurement platforms to streamline purchasing and budgeting processes.
- Ability to assess financial challenges, implement cost-saving solutions, and drive process improvements.
- Ability to manage multiple projects, track expenses, and oversee procurement timelines simultaneously in a fast-paced luxury design environment.
Qualifications:
- Proven experience in Purchasing and Financial Coordination, preferably in Construction or Design industries.
- Exceptional proficiency and skill in QuickBooks and Excel are essential.
- Strong negotiation, communication, and organizational skills.
- Ability to source new Vendors and understand product details for high-end Residential builds.
- Self-motivated, adaptable, and capable of building processes from the ground up.
